Data Centre inventory

We record equipment, locations and, where agreed, connections.

THE STARTING POINT

Reliable data instead of fragmented records.

An equipment spreadsheet does not always reflect what is actually installed in the racks. After years of changes, labels can be inconsistent, location records outdated and knowledge of connections held by just a few individuals. We combine physical surveys with checks against available documentation so that everyday decisions are based on verified data.

The scope follows the objective. Updating an asset register primarily requires equipment details and locations. Preparing a relocation, maintenance activity or expansion may call for more detailed mapping of ports, network connections and power connections. We agree the level of detail, labelling approach and delivery format before work begins.

The result should be useful documentation, not another list that quickly becomes outdated. We identify discrepancies and information that still needs confirmation, prepare the data for further use and help define how it will be maintained. We can also verify and update an existing register through a repeat inventory survey.

SCOPE OF WORK

What does the engagement cover?

Equipment and rack inventory, documentation checks and structured data for maintenance, migration and DCIM.

  • 01records of sites, rooms, racks and equipment positions within racks
  • 02collection of agreed equipment attributes and verification of existing labels
  • 03comparison of the physical environment with documentation, highlighting gaps and discrepancies
  • 04optional mapping of ports, network connections and power connections
  • 05agreed equipment or cable labelling and preparation of device models in DCIM
  • 06handover of documentation and data in the agreed format, or entry into UptimeDC

IN PRACTICE

The details that define the scope.

Equipment in its physical context

The register can include the site, room, rack, U position, equipment type, manufacturer and model. Names, serial numbers and asset identifiers are collected where available and within the agreed scope. Missing information is flagged for clarification, not filled in with assumptions.

Connections and labels — an extended scope

Where a view of dependencies is needed, we extend the survey to identify ports, network connections and power connections. We agree a durable labelling standard and how relationships will be recorded. An equipment inventory does not automatically include full cabling mapping or repatching.

From records to a DCIM model

The result can remain a structured register or be represented in a Data Centre infrastructure management (DCIM) system. Within the selected scope, we prepare rack layouts, equipment positions and device models in UptimeDC. Imports and integrations with other systems are agreed separately.

Data quality and ongoing updates

We check the completeness of agreed fields, consistent naming and alignment between records and survey findings. We identify unverified information and differences from the existing register. A repeat inventory survey reconciles documentation with the environment after expansion or subsequent changes.

HOW WE DELIVER

From the first conversation to a verified result.

  1. 01

    Agree the objective and scope

We define locations, required fields, the level of detail, delivery format and acceptance criteria.

  2. 02

    Survey the infrastructure

At agreed times, we collect data, verify labels and inspect the environment in line with site-access rules.

  3. 03

    Organise and verify

We reconcile data with the physical environment and existing registers, then prepare documentation and a discrepancy list.

  4. 04

    Hand over for everyday use

We review the agreed deliverables with your team, explain outstanding questions and establish how records will be updated.

THE RESULT

What does your team receive?

  • 01a verified register of equipment and its locations within the agreed scope
  • 02a list of discrepancies, gaps and information requiring further confirmation
  • 03clear documentation of the racks, labels and connections covered by the engagement
  • 04data ready for the IT team's ongoing work and agreed rules for keeping it current

BEFORE WE START

Useful questions to ask early.

Does every inventory include all cabling?

No. Equipment and location records, connection mapping and labelling are separate scope items. We agree which ports and connections will be verified, how the findings will be recorded and whether new labels are included.

Do we need existing documentation?

Existing records help prepare the work, but we verify them against the physical environment. Missing information and the survey scope are identified at the start.

How will the data be delivered?

We agree the format and fields before collection. Depending on the scope, the result can support spreadsheet-based work or import into UptimeDC.

Does inventory require disconnecting equipment?

Disconnections are never assumed without agreement. Connection verification, access rules and any work windows depend on the environment and required level of detail.

Can the data be used in our existing system?

Yes, once the data model, required fields and import format have been agreed. Preparing the register does not automatically include CMDB integration, monitoring or DCIM licences. These extensions are scoped and priced separately.
